Format and organize the notebook

Type or write notes

​

When you are ready to take notes, do any of the following:

​

  • To type notes on a page in OneNote, click wherever you want them to appear, and then start typing.

  • Whenever you want to begin a note elsewhere on the page, just click and start typing there.

  • To add a page title, click the page header area at the top of the page and type the title. Titles also show up in the page tabs near the right of the page.

  • If your computer supports handwriting, on the Draw tab, select a pen, and then draw or write directly on your screen.

Add links 

​

Whenever you type text that OneNote recognizes as a link, OneNote automatically formats it as one. For example, if you type www.microsoft.com into your notes, OneNote turns that into a link. Clicking it will open the Microsoft website in your browser.

 

You can also manually insert links into your notes (including links to text, pictures, and to other pages and sections of your notebooks), by doing the following:

1. Select the text or picture where you would like to insert a link.

​

2. Choose Insert > Link.

3. In the Link dialog box, type the link’s destination URL into the Address field and then click OK.

Add files to your notes

 

OneNote can keep all of your information about any subject or project together in one place — including copies of related files and documents.

​

  1. In your notes, go to the page where you want to insert a file or document.

  2. Choose Insert > File Attachment.

3. In the Choose a file or a set of files to insert dialog box, select one or more files, and then choose Insert.

Inserted files show up as icons on your notes page. Double-click any icon to open its file.

Remember, inserted files are just copies. OneNote doesn’t automatically update the copies if the original files change.

Apply a OneNote template to a page

 

A OneNote template is a page design that you can apply to new pages in your notebook to give them an appealing background, a more uniform appearance, or a consistent layout.

Note: If you're interested in simply changing the color of one of your pages in OneNote, see change the background color of a page.

To apply a template, do the following:

​

1. On the ribbon, choose Insert > Page Templates.

2. In the Templates task pane, click the small arrows next to the category names to expand them.

 

3. To apply a template to a new page, select its name in the list. If you don’t like your selection, select another template to replace your previous selection. You can do this repeatedly until you find a template that you like.

4. When you’re finished, close the Templates task pane and then take notes on the new page whenever you’re ready.

​

OneNote comes with several built-in page templates, including decorative page backgrounds, planners, and To Do lists. If you’d like, you can also create your own page template or customize an existing one.

Insert the current date and time on a page

​

Depending on how you use OneNote, you can insert your computer's current date and time anywhere in your notes.

​

Note:  Inserting the current date and time in your notes is different from the page creation date and time that OneNote places underneath the page title whenever you add a new page to your notebook. You can change or remove the page creation date or time if you’d like.

​

  1. In your notes, place the cursor where you want to insert the current date and time.

  2. Do one of the following:

    • Click Insert, and then click either Date, Time, or Date & Time.

  • To insert the current date and time, press Alt+Shift+F.

  • To insert only the date, press Alt+Shift+D.

  • To insert only the time, press Alt+Shift+T.
